Stallholder Terms & Conditions

By submitting the application form, you agree to the following terms and conditions:

  1. An application for a stall does not guarantee you space at Mexted Motors Spring into Tawa 2024. The organisers reserve the right to allocate stalls based on the best interests of the event. This includes ensuring a wide variety in the type of stalls at the event.

  2. Where we have more applications than we can accommodate for a particular type of stall, past stallholders and locally (Tawa) based stallholders will be given first preference.   After that, ensuring a wide variety of products on offer and date of application may be used to determine stall allocations. 

  3. Stallholder placements will not be allocated until payment is received. One reminder past the final due date (8 September) will be sent. After that, the place will be offered to someone on our waiting list.

  4. A cancellation policy applies.  Cancellation of your stall before 15 September will entitle you to a full refund of your stallholder fee.  Cancellation between 16 September and 6 October will entitle you a 50% refund of your stallholder fee.  Cancellation on or after 7 October will not entitle you to refund of any of your stallholder fee.

  5. The event is an open air event and goes ahead unless the weather makes it unsafe to proceed.  It is the stallholder’s responsibility to bring appropriate shelter for their stall.  This includes the necessary gazebo and/or table weights. Organisers reserve the right to require stallholders to take down shelters or gazebos that are not appropriately weighted or secured.  Stallholders must not secure their gazebo or shelter to any fixed structure, or to another stallholder’s structure without permission of the structure owner and/or a Mexted Motors Spring into Tawa Committee member (Yellow high-vis vest with “COMMITTEE” printed on the back).

  6. The event organisers reserve the right to cancel in the event of unsafe weather conditions, if there are restrictions on social gatherings or on the advice from local, civil or national authorities that the event should not proceed.  There is no cancellation date if the event is canceled due to one of these reasons.  There will be no refund of stallholder fees if the event is canceled for one of these reasons after 7 October.  Cancellation due to any of these factors prior to 7 October will see our cancellation and refund policy outlined in condition 4. apply.

  7. Mexted Motors Spring into Tawa 2024 is continuing to reduce the amount of waste generated by the event and reduce our impact on the environment.  To support that we are a plastic bag free event,  Stallholders will not be able to provide plastic bags for people purchasing items at the event.We ask that all stallholders reduce the amount of plastic that they use in their packaging and their display.

  8. In addition, balloons that are single use, plastic and/or non-biodegradable are now banned from the event. Stallholders must not use these products in their display or as giveaways to customers.

  9. If selling food, stallholders MUST use locally compostable, reusable or recyclable packaging for their food and drinks.  This includes containers, plates, cups, cutlery and napkins.  To be compostable, the packaging must be accepted by Wellington City Council's Capital Compost Facility.  Here is the guide of approved products.  Stallholders not using sustainable packaging will not be able to sell their products.  Sustainable packaging should not have stickers or advertising placed on it that means it is not able to be composted or recycled.

  10. We will be running a campaign to encourage attendees to bring their own coffee cups and food containers. In order to support this campaign, if you are selling food, you will need to accept the use of people’s own containers.

  11. All stalls selling food are required to register with event organisers using the application form that they are selling food. This is a Wellington City Council requirement. Failure to disclose selling food ahead of the event will result in that stallholder being unable to sell food at the event.

  12. Food must not be given away (except small samples with the direct and express purpose of selling that product at the event).
