Stallholder Rates
In 2024, there has been a small increase for most types of categories of stalls, reflecting the increasing core costs for organisers. As a community focused event, we have managed to keep the Community stall rate the same as in previous years.
Category | Earlybird* | Regular |
---|---|---|
Community | $30 | $40 |
Craft and Business | $60 | $70 |
Food Stall | $60 | $70 |
Food stall with power | $80 | $100 |
Food trucks | $110 | $130 |
*Payment required by 24 August 2024
Payment
We will advise successful stallholders by 3 August. Payment will then be required by 24 August (early bird rate) or 8 September at the latest. You will not be allocated a stall space until payment has been received. You will receive confirmation that you have been allocated a space upon receipt of payment.
We will send one reminder after 8 September. If you fail to pay on this reminder, your application will be canceled and your space will be offered to someone on our waiting list.
Cancellation Policy
If you cancel on or after 7 October, you will not be eligible for a refund on your stallholder fee.
If you cancel on or after 16 September but before 6 October, you will be eligible for a 50% refund of your stallholder fee.
If you cancel on or before 15 September, you will be eligible for a full refund of your stallholder fee.
What kind of stalls do we have at Mexted Motors Spring into Tawa?
We feature a wide variety of stalls at the event. We limit the number of stalls selling the same or similar things (for example, there will be a limited number of sausage sizzles, face painting stalls etc).
Where we are over-subscribed in a type of stall, first preference will be given to prior stallholders. Second preference will be given to local (Tawa area) stallholders and then application date will be used.
Stall Placement
Stalls will be located in the middle of the Main Road and Essex Street, and in some cases where space allows on the side of the road as well. No stalls are permitted on the footpaths except those stalls run by business owners located on the Main Road.
Allocation of your stall is at the discretion of the organisers - please let us know if you have a preference for a certain site or would like to be located near another stallholder. While we will try to accommodate any requests, we can't guarantee to meet these requests.
Stall Size
There is one standard size of stall - 3m x 3m. This is large enough to fit a standard gazebo.
If you need more space than 3m x 3m, you will be required to book and pay for two spaces. Space will be allocated only if available and on a first come first served basis.
Food truck sites are allocated based on the size of the truck (therefore not restricted to 3m x 3m). Therefore, we can only accept as many food trucks as we can fit into the space available.
Selling Food
Wellington City Council requires all stalls selling food to be registered with the event organiser. It is very important that you let us know if you are selling food – either to be consumed at the event or sold for consumption at a later time. Failure to disclose this will mean you will not be permitted to sell these food items on the day.
If selling food or drinks, stallholders must use resuable or locally compostable packaging. This includes containers, plates, cups, cutlery and napkins. To be compostable, the packaging must be accepted by Wellington City Council's Capital Compost Facility. Here is the guide of approved products.
You are not permitted to give away food
So as not to impact on those stallholders registered to sell food, you may not give away food unless sample sized tasters of products for sale on the day, with the purpose of encouraging sales. If you are giving away even samples, and the organisers feel this is impacting on other stallholders, you may be asked to cease this activity.
Power
We are unable to provide power to regular stall sites. Generators are permitted only if they are silent. If you arrange power to be supplied by a local business, you are responsible for ensuring that all cords are appropriately covered. Plastic cord covers will be required to cover cords - tape and/or carpet is not acceptable. The organisers reserve the right to ask you to move or unplug cords if we feel there is a Health and Safety issue.
Powered Food Stall Sites
We have a limited number of powered 3m x 3m sites available for food stalls that require power. These sites will enable food stallholders to connect to the event generators. These stallholders will be required to have at least 30m of extension cable and these cables must be tested and tagged before the event by a registered electrician.
Zero Waste Journey
Mexted Motors Spring into Tawa is a plastic bag free event. We will publicise this and encourage people to bring reusable bags, plus as with past years, we will likely have a number of stallholders giving out free reusable bags. We will also be encouraging people to “Bring their Own”: cups, water bottles, containers and cutlery.
Wet Weather Plan
Spring into Tawa is an open air event. There is no alternative layout, or cancellation day, if there is wind or rain. We advise that you come prepared with shelter from all the possible elements (including sun!). Shelter for your stall is not our responsibility. It is recommended that you bring a gazebo. If you bring a gazebo, appropriate weights for the conditions will be required and event organisers reserve the right to require you to take down your gazebo if not weighted. Gazebos should not be secured to another gazebo or any other nearby structure. The event will proceed if there is wind and rain, unless it's unsafe for the event to proceed.
